Our work brings together global health leaders, philanthropists, frontline organizations, and community advocates. Convenings and events are a core part of our strategy to convene the coalition, mobilize resources, and position faith-based organizations and voices in global maternal and newborn health platforms.

Purpose of this RFP
Every Pregnancy is seeking an experienced Events Consultant or Events Management Agency to manage the planning and execution of all organizational events throughout the year.
The selected individual or team will provide end-to-end event management, working closely with ourteam to deliver high-quality, mission-aligned events that reflect the professionalism and global leadership of Every Pregnancy.This role requires a highly organized, proactive, and independent professional(s) who can manage complex logistics with minimal oversight while consistently meeting deadlines and maintaining excellent communication.
Scope of Engagement
The consultant or agency will support planning and execution of three events each year, which include:
- Annual Partner Convening (Istanbul, Turkiyel) – 150 attendees
- United Nations General Assembly (UNGA) Week Event (New York, USA) – 60 attendees
- TBD Event in the United States and Europe – 100 attendees total
Scope of Work
The Events Consultant/Agency will be responsible for complete event management from concept through execution and post-event follow-up.
Responsibilities include, but are not limited to:
Event Planning and Logistics
- Develop detailed event plans and timelines for each event
- Venue identification, negotiations, and contract coordination
- Vendor sourcing and management (catering, AV, design, photography, etc.)
- Travel and accommodation coordination for speakers and guests when needed
- Budget development and tracking
- Development of run-of-show documents and operational plans
- On-site event management and coordination
Invitations and Guest Management
- Develop guest invitation lists in coordination with the Every Pregnancy team
- Design and manage invitation distribution
- Manage RSVPs and guest communications
- Coordinate VIP guest management and seating arrangements
- Support guest engagement and follow-up
Communications and Event Materials
- Draft event copy and messaging (invitations, event descriptions, programs, etc.)
- Coordinate design of event materials, including:
- Invitations
- Programs
- Signage
- Digital promotional materials
- Event branding elements
- Coordinate production of printed and digital materials
Promotion and Outreach
- Develop promotional materials for events as needed
- Coordinate outreach support with the Every Pregnancy communications team
- Ensure alignment with Every Pregnancy branding and messaging
Event Execution
- Coordinate all vendors and logistics on-site
- Manage event flow and run-of-show
- Troubleshoot operational issues in real time
- Ensure high-quality execution and guest experience
Post-Event Follow-Up
- Coordinate post-event communications where relevant
- Support collection of photos and documentation
- Provide post-event reports and recommendations
Desired Qualifications
The ideal candidate or agency will demonstrate:
- Proven experience managing high-level events, convenings, or fundraising events
- Exceptional organizational and project management skills
- Strong written communication skills for invitations and event materials
- Experience coordinating vendors, venues, and logistics internationally
- Ability to manage multiple deadlines simultaneously
- Professional communication and stakeholder management skills
- Ability to work independently with minimal oversight
- Proactive mindset with strong initiative and problem-solving ability
- Alignment with the mission and values of Every Pregnancy
- Be able to coordinate events across multiple locations and time zones (travel requirements will be determined on a per-event basis)
Working Style
This role requires a self-starter who takes ownership of their work. The selected consultant or agency should be comfortable operating with minimal management while maintaining strong communication with the Every Pregnancy team.
The Events Consultant will work closely with the CEO and core team and will be responsible for ensuring that events are delivered professionally, efficiently, and on schedule.
Contract Structure
This will be a contract-based engagement.
Compensation structure will be for a

Final structure will depend on experience and scope.
